How to configure Mac Mail (IMAP)

{Please note: Follow these steps to set up or reconfigure your email in Mac Mail if you are experiencing issues sending or receiving emails}

To configure Mac Mail using IMAP, follow these steps:

  1. Open Mac Mail. If this is your first time using it, the Setup Assistant will appear. Otherwise, go to File → Add Account.
    Note: On older macOS versions, click Continue and select IMAP as the Account Type.

  2. Enter the following details:
    Full Name — Your name as it should appear in sent emails.
    Email Address — Your full email address (e.g., user@yourdomain.com).
    Password — The password for your email account.

  3. Click Continue, then enter:
    Account Type — Select IMAP.
    Description — A name for your account (e.g., Work Mail).
    Incoming Mail Server — mail.yourdomain.com
    User Name — Your full email address.
    Password — Your email account password.

  4. Click Continue. Mac Mail will attempt to verify incoming server settings. If prompted:
    Enable "Use Secure Sockets Layer (SSL)".
    Set Authentication to "Password".
    Click Continue.

  5. Enter the outgoing server details:
    Description — Optional label for the account.
    Outgoing Mail Server — mail.yourdomain.com
    Enable "Use only this server".
    Enable "Use Authentication".
    User Name — Your full email address.
    Password — Your email account password.

  6. Click Continue. If prompted for outgoing server security:
    Enable SSL.
    Set Authentication to "Password".
    Click Continue.

  7. Review the Account Summary and click "Create" to finish setup.

Using IMAP Folders:

To organize your email effectively, you can configure which IMAP folders are used for sent mail, drafts, spam, and trash.

  1. Go to Mail → Preferences, click "Accounts", and select your IMAP account from the list.

  2. Open the "Mailbox Behaviors" tab, uncheck all options, and close the window.

  3. When prompted, click "Save" to apply changes.

  4. In the Mailboxes panel (enable via View → Show Mailboxes if hidden), do the following:
    Select a folder such as Sent, Drafts, Spam, or Trash.
    Go to Mailbox → Use This Mailbox For.
    Assign it to Sent, Drafts, Junk, or Trash accordingly.

  5. The selected folder will be mapped and appear under the appropriate Mac Mail category.
